A rate request that omits those details often produces a price for a lane the airline will not accept. Establishing the cargo profile first avoids a re-quote after cartons are already packed.

Prepare the working document set

Request the UN38.3 test summary and SDS from the manufacturer. Pair them with a clear commercial invoice, packing list, product photos, and the battery specification. For equipment with installed cells, show the packaging relationship rather than relying on a generic product name.

The documentation should be internally consistent: model number, chemistry, watt-hours, and package count must match across the invoice, packing list, and safety documents.

Choose the lane after acceptance

Once the carrier can assess the actual battery profile, compare the accepted air option against sea or rail. The decision is then about the delivery date and stockout risk, not a speculative rate that cannot be booked.
